JOB SUMMARY

The Health Information Management Specialist is responsible for maintaining the department’s paper and electronic health record systems.

MAJOR TASKS AND RESPONSIBILITIES

  1. The HIM Specialist will have an understanding of privacy and security guidelines related to patient information and maintain HIPAA as well as keep all patient information confidential.
  2. Manages electronic health (EHR) systems, including data entry, updates, and troubleshooting including correct nomenclature of documents.
  3. Reviews and audits records for completeness, accuracy, and compliance with healthcare regulations (HIPAA).
  4. Reviews daily appointment list for patients a couple days prior to appointment and obtains all relevant records for the visit from specialists, hospitals and radiology and has them scanned into the EHR.
  5. May perform duties such as chart analysis, scanning and indexing when assigned.
  6. Provides daily reports to clinic personnel/departments on incomplete records.
  7. Troubleshoots and investigates issues and requests, and responds to patients.
  8. Maintains medical records in the EHR in an organized fashion.
  9. Assist healthcare providers and administrative staff in retrieving and interpreting medical records.
  10. Data entry and analysis including historical data.
  11. Prepare and submit medical records, external audits, inspections and quality checks. Prepare invoices for Medical records transfer when appropriate.
  12. Complete clerical duties including answering phones, responding to emails, and processing records requests.
  13. Assisting physicians, Disability coordinator and other medical personnel in achieving timely, accurate and complete documentation practices.
  14. Participate in the daily clinic huddle and provide updates regarding records.
  15. Because of the Tribe’s commitment to community service and the well being of its members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular responsibilities.

EDUCATION - EXPERIENCE AND TRAINING FOR POSITION

Required:

High School diploma, GED or Higher Level Degree, three years of experience with medical records in a health care setting. Experience working with EPIC Electronic health record system.

SPECIFIC SKILLS/KNOWLEDGE/ABILITIES REQUIRED FOR POSITION

  • Complete knowledge of ICD-10, CPT, and HCPCS and documentation requirements is preferred.
  • Experience working with RPMS preferred
  • Strong understanding of health information concepts and practices.
  • Knowledge of medical terminology
  • Electronic Medical Record (EMR) software
  • Administrative and clerical procedures and systems (word processing, spreadsheets)
  • Customer Service experience
  • Multitask with multiple jobs given within any given day
  • Highly motivated and self-directed
  • Excellent written and verbal communication skills
  • Organization skills
  • Strong attention to detail

The employee is occasionally required to walk; use hands to operate, finger, handle, or feel objects, tools, or controls; and reach with hands and arms. The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus. The noise level in the work environment is usually moderately quiet.
